Welcome to our Term 2 Bulletin - July 2023
Welcome to our end of term 2 Bulletin - wow, how quickly this term has disappeared. We hope this term has been a productive and rewarding one in your school. As we head into the holiday break we hope you are able to take a break, spend time with family and friends or enjoy a quieter time to catch up on your task list.
Our annual conference program is coming together, we hope you take the opportunity to read through our conference program, register and book accommodation if travelling from around the state. Details and links included below.
This term, Vice Chairperson, John Collighan and I, along with other Executive Members, on behalf of the TSAA, have continued to meet with the Department for Education, Children and Young People’s Corporate Managers at six weekly intervals and have been involved on various working and stakeholder groups. These meetings provide us with an effective podium for discussion and communication to enable us to connect, maintain and strengthen relationships with all DECYP cohorts. Our meetings are very productive; giving us an opportunity to represent our colleagues, provide feedback, share initiatives, and develop excellence in administrative practices across our schools.

2023 - 2024 Executive vacancies - we will have vacancies to fill on our TSAA Executive in each region for 2023 - 2024. These positions will become vacant at our AGM in August. Please consider joining the TSAA. Input and involvement from new members is vital for our Association to evolve, continue to grow and be an active and supportive group that strives to support colleagues across the state.
At our conference we will be providing some time in network groups to gain feedback from SBMs - how can we support you? What do you see as the purpose of the TSAA now and into the future? Your feedback is valued and important for the future of our Association.
Please reach out to our Executive for support, discussion, sharing of ideas, concerns and assistance. We are always happy to facilitate "Buddy SBM's" - an informal arrangement, when you feel you need someone to touch-base with, a colleague to discuss and brain-storm with!

2023 Conference
Our TSAA Conference is on Thursday 24 and Friday 25 August 2023 at the Paranaple Convention Centre, Devonport. We are excited to be holding our conference on the North West Coast for the very first time.
This year we are planning a slightly different program. We would like to offer delegates the choice of attending DECYP Master Classes. These sessions will be smaller groups on specific focus topics run by Corporate Business Units and their teams. When our delegates register to attend our conference, they will select which Master Classes they wish to attend each day. Feedback from previous years is that some of the DECYP presentation content had been covered previously in the Business Operations Professional Learning Wednesday TEAMS sessions. By offering this different format we believe this will allow delegates more flexibility and added value – giving them opportunities to attend the sessions that are relevant and of interest to them.
Our AGM will be held as part of day two in our conference program along with our Annual Dinner on Thursday evening at the venue. Our dinner theme this year is "Glitz & Glamour".

DECYP Master Classes / Conference Program
Delegates will be offered the choice of attending DECYP Master Classes throughout our two-day program. These sessions will be smaller groups on specific focus topics run by Corporate Business Units and their teams. A Microsoft Forms document will be emailed to delegates closer to the event to register your preferences.

Following an incredible career performing in over 4500 concerts and keynote addresses, to well over a million people around Australia, New Zealand and the USA, the TSAA are pleased to announce that renowned blind guitarist and motivational speaker Lorin Nicholson OAM, has been invited to be our M.C. and motivational speaker, at this year's annual conference.
Lorin’s highly acclaimed motivational keynote address and contribution to our two day conference promises to be engaging, educational, entertaining and highly inspirational.
As a highly accomplished blind person, Lorin is a true example of leadership and how success can be achieved despite life’s hardships and challenges. During his keynote address titled; “Clarifying YOUR VISION – Don’t BE Blinded”, each person not only has the opportunity to see and hear Lorin’s inspirational music and powerful life experiences, but more importantly will receive fresh new perspectives and a hands-on approach to achieving real success and life balance at home and in the workplace.
Over recent years Lorin has been recognised as;
- a Golden Guitar finalist
- an Australian album producer of the year
- an Australian of the Year nominee
- a Queensland service award recipient
- a Batonbearer for the 2018 Queen's Batten Relay
- the First blind person to ride pushbike across Australia

- a Motivational speaker at the Invictus Games 2018.

As a happily married father of four children, businessman, educator, author, musician, athlete and motivational speaker, Lorin not only talks about success, he personifies it and looks forward to sharing his inspirational music, unique insights and life experiences with every member of the audience.
Our second keynote speaker is Ngaire Hobbins. Tasmanian identity,
Ngaire Hobbins is a dietitian skilled at sharing the science of nutrition, ageing and brain health in everyday language. She is an author and speaker as well as a clinical practitioner.
Ngaire’s presentations aim to help people live their best lives, especially those looking ahead towards or already embracing their later years. Advances in medicine have delivered us decades more than our grandparents enjoyed and we all want those years to be good ones – that is what Ngaire talks about. Ngaire is an engaging and informative speaker and will offer practical, sensible guidance on thriving into later life and reducing dementia risk. There will be time for audience questions during the session.

Invitation to Administration Clerks
Expressions of interest are now welcome from permanent Administration Clerks to attend our upcoming TSAA 2023 Conference in Devonport in August. We have 25 registrations available to Administration Clerks. If you would like to attend, please submit an expression of interest form, link below. Your nomination form must be endorsed by both your School Business Manager and your Principal. This is a great opportunity to attend some fantastic presentations, network with colleagues and develop your skills and confidence, especially for those Aspiring School Business Managers.

Attending Interstate Conferences
Have you considered attending a conference in another state as part of your professional learning, personal and professional growth as a school leader? The TSAA offers financial support and assistance to School Business Managers with permanency in DECYP schools, to attend national conferences each year. Due to travel restrictions over the past few years this program had been put on hold. However, we would like to promote this opportunity again. With the support of your Principal please give this some consideration.
Queensland School Business Managers' Association Conference, Anything is Possible, 14 - 17 August 2023 Calendar of Events (sbmaq.com.au)
Selection Criteria:
- Applicants must be a permanent School Business Manager, currently employed by the DECYP, working in a Tasmanian School/College with at least one year’s service as an SBM. In your application include your employee and position number, as well as your School/College.
- The applicants’ school must be financial members of the TSAA.
- Applicants must have the support of their School/College which must be verified in a signed, written statement by their Principal.
- The applicant's School/College must be prepared to make up any shortfall in costs. If not then the applicant must be prepared to do so from their own, or other available private funds. Either case requires a commitment from the School/College or the applicant. This must be given in writing in the application.
- Applicants must nominate which Conference they will attend and must use the funding to attend only that Conference.
- After their return applicants are required to write a report that will be published in a TSAA Bulletin and be presented at a TSAA Executive Meeting.
- All applicants must be prepared to represent, in a positive manner, the TSAA, DECYP and Tasmania Education in general.
- Applications must include a statement on how they feel the experience will be of benefit to them, their School/College and to other School Business Managers.
- Any person will only be eligible to receive a grant once in every three years.
- All successful applicants must apply for a travel warrant.
- All applications are reviewed by the TSAA Executive.
Consideration needs to be given acknowledging our budget and to encourage and provide an opportunity to ALL School Business Managers.
If you have attended a conference within the last three years you are still able to attend another conference at your own or your school’s expense. TSAA will contribute to one conference within this period of time. This is professional learning and can be claimed as a tax deduction if you pay the cost yourself.
This is a great opportunity to compare practices, network and build on your knowledge and leadership capacity both in yourself and within your school teams.

People, Services & Support - Payroll, Systems & Recruitment
New Starter Pack
New permanent, fixed term or relief employees will need to complete a New Starter Pack (NSP).
- Employees engaged via contract or permanent recruitment process will receive a link to the NSP by HRConnect.
- New relief employees – the NSP link can be provided to relief employees prior to their first day to assist with early IT provisioning.
Employees must ensure everything is completed on the NSP, if incomplete (i.e., no TFN or no banking details) this will delay payment of salary.
New teaching staff are encouraged to provide teaching qualifications and statements of service via the NSP, this will assist with placing on the correct salary level at the time of engagement.
Timely advice to Recruitment and Payroll
To help with the commencement of employees’, vacancies need to be submitted via PageUp as soon as possible, this will avoid delay in salary payments and ensure employees have system access when they commence as IT provisioning relies on employee data from the HR System.
Employment Register Contracts
Once a PageUp request is approved, you will need to follow the instructions provided to you by the Recruitment Officer.
In regards to employment register contracts it is the responsibility of the SBM to complete the contract within PageUp. For more information on how to complete a contract you can visit the how to guides on the right hand side of your PageUp dashboard, It is imperative employees click and accept their contracts within PageUp, once the click and accept is completed the contract details are sent to Payroll for processing. As the request owner, the SBM will receive an email when the contract is accepted by the employee. Please follow up with the employee if the email is not received in a timely manner.
Workload Variations
Workload variation increases should be progressed via PageUp prior to completing the Agreement to Vary Hours of Work form. Workload variations are to be confirmed through an Agreement to Vary Hours of Work form so that employees receive the appropriate salary in accordance with their approved workload. To assist in ensuring the work variation can progress, please check employees have signed the Agreement to Vary Hours of Work and the Work Pattern is included, and it is correct. TIP: Do the hours add up? We receive many forms that don’t and this can cause delays.
Payroll Service Centre
As we have now decommissioned the HRpayroll email and now solely using the PayrollServiceCentre we are reminding our employees and our payroll team to communicate through one ticket and not create multiple tickets or have multiple people dealing with the same issue – we are working on this with you!
Pay extract
The fortnightly pay extract is an Audit requirement and required to be completed each fortnight. The purpose of the pay extract is to confirm all employees on the pay extract are within your school/business unit and to advise of any corrections on the payroll. There is NO requirement to also log these updates via the PayrollServiceCentre, these corrections will be actioned from your return on the Pay extract.

The webinars are open to all staff across DECYP.
These sessions are facilitated by experts and are designed to help share information, strategies, practical tips, and ideas to support your wellbeing at work. Share the details with those who you think would be interested and encourage your staff and colleagues to attend.
